1. Start with the occasion and schedule.
Tell your caterer whether you’re planning a business meeting, a private dinner or a celebration. Include the time guests arrive and the time food needs to be ready. Venue access and setup time should be confirmed separately.
2. Plan the menu as a meal.
Choose dishes that complement each other. A Turkish menu might combine lentil soup, a meat or vegetable entrée, rice pilaf and salad. Consider what your guests can comfortably eat in the setting: a short office lunch has different needs from a leisurely dinner.
Build a menu shortlist3. Ask about dietary requirements early.
Collect allergies and dietary requests before finalizing dishes. Names alone do not establish whether a dish is suitable. Ask about ingredients, substitutions and cross-contact. Confirm the agreed menu in writing.
4. Check the venue details.
| Detail | What to share |
|---|---|
| Access | Parking, loading area, stairs, elevator and entry instructions |
| Timing | Arrival window, meal time and venue access restrictions |
| Facilities | Available prep space, tables and venue requirements |
| Service | Ask what delivery, setup, staffing and rentals are included |
5. Compare written proposals carefully.
Compare the menu, portions, service scope, travel charges, equipment, taxes, payment schedule and cancellation terms. A per-person headline price alone does not tell you the full cost of an event.
